Information about how we process your personal data

At Byn Kommunikationsbyrå (BYN), it’s important to us that you feel secure about how we handle your personal data if you are a customer, business partner, involved in our and our clients’ productions, visit our website or social media, are an employee, or are applying for a job with us.

Byn processes your personal data in accordance with the General Data Protection Regulation (GDPR).

In order to provide our services, answer queries, and generally conduct our business, we need to process personal data. This data protection policy describes how Byn Kommunikation processes your personal data when we do so as a so-called data controller (the party that determines the purposes and means of specific personal data processing) or a data processor (carrying out tasks on behalf of the data controller).

What is personal data?

Personal data is all types of information that can be linked to you as an individual, for example, name, address, personal identification number, contact details such as telephone numbers and email addresses. IP addresses, cookies, and electronic identities are also personal data if they can be linked to you.

Personal data we process

Clients and business partners of Byn

For those who come into contact with us as clients or business partners in a business context, we process names, email addresses, telephone numbers, and company addresses. This may also include personal identification numbers (e.g., to the extent required for identification in connection with entering into agreements), who your employer or client is, job title, areas of responsibility, authorisations, and information that arises in connection with our communication. We process this data in order to communicate with and fulfil agreements with our customers, suppliers, and business partners. Your personal data may be processed for surveys, marketing activities, events, and investigations.

When you contact us

If you contact us, we process the contact details you have provided to us (e.g., telephone number and email address), the information that arises in the dialogue between you and us, and the electronic identification data that occurs in connection with any electronic communicationkommunikation.

When you apply for a job with us

For job applicants, we process names, telephone numbers, email addresses, personal identification numbers, information about qualifications and education, information about current and previous employment, other information you provide in your application documents, and information from any references. If you are a reference, we normally process your name, telephone number, email address, job title, and information about your employer or client.

Participation in productions for Byn and/or Byn’s clients

When you participate in, for example, photo, film, or voiceover assignments that we produce for Byn’s purposes or on behalf of our clients, we process information such as name, email address, address, telephone number, and other information about you that is necessary for us to assess whether you are relevant for an assignment or to carry out the assignment. In some cases, we process personal identification numbers and bank account details in order to pay you the agreed compensation.

Cookies

We currently do not use any “cookies” on our website.

From whom we may receive personal data about you

As a general rule, we only process the personal data that you provide to us or that we collect from you as described above.

If you are a contact person at our clients, suppliers, and business partners, we may also receive personal data about you from your employer or client if it is required for the assignment and your employer has your permission.

If you are a job applicant, we may also receive information about you from the references you have provided. If you are a reference, we may receive information about you from the job applicant.

To whom we may disclose your personal data

We may disclose your personal data to our clients, subcontractors, and business partners in order to fulfil assignments and agreements. We ensure through agreements that they may not process your personal data for purposes other than providing us with the service they provide.

You are not obliged to provide us with your data according to, for example, law or agreement with us. If you do not provide us with certain personal data, this may result in us not being able to provide you with the services you request or carry out the assignments we have undertaken through agreements. We do not process your personal data for automated decision-making or profiling.

How long we process your personal data

We do not process your personal data for longer than is necessary to fulfil the purposes of the processing. The personal data processed to manage our accounting is in accordance with the Accounting Act.

When it comes to those who contact us, e.g., via email, we may process your personal data for the duration of our dialogue and for two years thereafter. Certain personal data may be stored for a longer period depending on the subject of the dialogue.

When it comes to those who are contact persons at our customers, suppliers, and business partners, we generally process your personal data for the duration of our agreement or other relationship with the client, supplier, or business partner you work for, and for one year thereafter.

Your rights under the General Data Protection Regulation

Right to information

You have the right to know whether or not we process your personal data. If we process your personal data, you also have the right to receive a copy of the personal data and information about, among other things, which categories of personal data are processed, the purposes of the processing, how long the personal data will be stored, with whom the personal data has been shared, and where the personal data comes from.

Rectification

You have the right to have inaccurate personal data concerning you rectified without undue delay. This also means that you have the right to supplement incomplete personal data that is relevant to the purpose of the personal data processing.

Erasure

You have the right to request that we erase your personal data without undue delay. Under certain conditions, we are then obliged to erase your personal data in accordance with your request, e.g., if you have objected to our processing of your personal data and there are no legitimate grounds for the processing that override your interests.

Restriction of processing

n certain cases, you have the right to demand that the processing of your personal data be restricted.

Objection

You have the right to object at any time to our processing of your personal data.

Data portability

Under certain conditions, you have the right to demand that your personal data be transferred in a structured, commonly used, and machine-readable format to another data controller. This right is limited to data that you yourself have provided to us.
